Office Network Installation in Vietnam: What to Prepare Before Requesting a Quote

Before opening or relocating an office, set out floor plans, network points, wireless coverage, material brands, server-room power and construction scope so that quotations can be compared on the same basis.

When an office is newly built, relocated or expanded, quotations for network installation often differ because each party understands the scope of work differently. Some quote only equipment and cabling, while others also include cable laying, termination, configuration and testing. For companies setting up an office in Vietnam, clarifying requirements before requesting quotes makes proposals and pricing easier to compare.

Floor plans and areas in use

Provide the current version of the office floor plan, marking workstations, meeting rooms, printing areas, reception areas and the server room. Parts of the layout that are not yet finalised can be marked separately. For renovation projects, also state which existing cabling and equipment will be retained, and whether the office will remain in use during construction.

Workstations and network points

Start by listing the current number of workstations, the expected expansion requirements, and the network outlets needed at each workstation. Points for printers, wireless access points, conferencing equipment, access control and cameras should be counted separately. If the number of points is not yet fixed, ask the quoting party to state the provisional quantity, unit price and the basis for later adjustments.

Wireless coverage and device access

Explain which areas need wireless connectivity, which devices are expected to connect, and what meeting rooms, visitors and employees require. The number and placement of wireless devices should be checked against the floor layout, site conditions and usage density rather than being decided from floor area alone. If the network must connect to the group’s existing network or management systems, provide those requirements in advance.

Material brands and the complete scope

When specifying brands, state which components the requirement covers. Whether cables, modules, faceplates, patch panels and patch cords are all included, and who supplies cable trays, conduits and labels, should be written into the quotation scope. The quotation list should state the specific brand, model and quantity, and provisional materials should be clearly marked so that selections can be confirmed later.

Server-room power and backup requirements

Where cabinets, UPS units or server-room facilities are involved, prepare an equipment list, the expected load and the power scope that needs to be protected. Backup duration should be specified by the client and then matched to a configuration calculated from the load. Cabinet location, cable entry, power distribution interfaces and cooling conditions should also be confirmed jointly by the relevant teams.

Construction, testing and handover

Clarify who is responsible for equipment supply, cabling, installation, network configuration and system integration testing, and state the permitted site access times together with the interfaces to fit-out and electrical works. Equipment arrival, installation, testing and acceptance should be scheduled as separate milestones; testing requirements, point labelling, as-built drawings and configuration records are best agreed before purchase.

Quotation materials that are easy to compare can include floor plans, a point schedule, equipment and material requirements, the scope of work and the expected delivery time. When comparing quotes, look beyond the total price and check whether transport, taxes, testing, changes and after-sales service follow the same basis.
